Creating Connections Events Ltd – Client Terms and Conditions

These are the standard terms of Creating Connections Events Ltd and all work undertaken by Creating Connections Events Ltd shall be on these terms unless specifically varied in writing and agreed to by both parties prior to the event.


1. Acceptance of Terms

These Terms and Conditions (“Terms”) govern your use of Creating Connections Events Ltd.ie (“we,” “us,” or “our”), including our website, mobile app, in-person events, and related services (collectively, the “Service”). By accessing or using the Service, you agree to these Terms. If you do not agree, please discontinue use immediately.

We may update these Terms at any time. Changes will be posted here with a revised effective date. Continued use after updates constitutes acceptance.


2. Eligibility

You must be at least 18 years old to use the Service. By registering, you represent that you are 18 or older and capable of entering into a binding agreement. We reserve the right to refuse or terminate service to anyone for any reason, including but not limited to violations of these Terms or applicable laws.


3. Event Booking Details

All bookings will be regarded as provisional until a signed copy of these Terms & Conditions has been received from the client, along with a non-refundable deposit for the required services (as set out in Clause 4.4 below), and only if accepted by will the booking be confirmed. Creating Connections Events Ltd is not under any obligation to continue holding provisional bookings beyond the given option date (usually 10 working days from the time of booking), if these have not been received. For the purposes of this Agreement “working days” shall mean Monday to Friday inclusive.


4. Price and Payment

4.1 All prices quoted by Creating Connections Events Ltd may be amended when agreed with the Client and the Client will reasonably consider any errors or omissions or where an increase is caused by a change in the circumstances beyond the reasonable control of Creating Connections Events Ltd.

4.2 Any query arising from an invoice must be notified to Creating Connections Events Ltd in writing by the Client within 10 working days of the date of the invoice receipt. Failure to comply will render the full invoice payable on the due date.

4.3 It is strictly the responsibility of the representative of the Creating Connections Events Ltd  confirming the booking to inform all relevant parties of the payment terms, as set out by Creating Connections Events Ltd.

4.4 Deposit – A deposit of 40% of the total fee payable, as quoted and agreed in the written proposal, of any event or programme shall be payable on confirmation of the order. The remaining 60% shall be known as the “balance”.

4.5 Balance Due – the balance of the total fee shall be payable 14 working days prior to the event date (unless agreed otherwise).

4.6 Additional Expenses – any additional expenses or fees resulting from any changes made by the Client, that have not been quoted in the agreed proposal but subsequently incurred by Creating Connections Events Ltd, will be invoiced separately after the event. Payment will be due within 5 working days of presentation, any queries thereon raised within 3 working days of presentation and payment shall be made in accordance with Clause 2.9. Creating Connections Events Ltd will agree any additional expenses or fees with the client prior to these being incurred.

4.7 Late Bookings – Should a booking be made within 20 working days of the event date, payment in full will be required to secure the event.

4.8 In the event of late payment, Creating Connections Events Ltd. reserves the right to charge interest on overdue amounts at an interest rate of 5% for late payments of 3 months and 10% for late payments of 6 months, above the prevailing base rate of our bankers.

4.9 Methods of Payment:

Bank transfer, Cheque, Cash (not exceeding €1,000)

The Client must inform Creating Connections Events Ltd in writing (preferably by email) of any bank transfers


5. Cancellation

5.1 This clause applies to the following: where the client (a) cancels the entire event, (b) cancels partial use of the facilities for the event or (c) reduces the duration of the event as a result of which the contracted value is reduced.

5.2 Should an event be cancelled, the following cancellation charges will apply and extend to the total charge which includes: any required accommodation, function room hire, equipment, pre-booked food and beverage charges. In addition, the client will settle any third-party charges incurred by Creating Connections Events Ltd on behalf of the client.

Cancellation Clause %

  • Within 7 days of the event, full payment will be applicable. 
  • Within 14 days of the event, 60% payment will be applicable.
  • Outside 14 days of the event, 40% payment (the deposit paid) will be applicable.

5.3 All cancellations must be received in writing from the client and will be deemed to take effect from the date of receipt.

5.4 Creating Connections Events Ltd reserves the right to cancel the client’s booking if there has been a change of more than 40% of the client’s original contract. Written notification will be sent to the client.

5.5 Any postponements of confirmed and contracted business or any Public Health Emergency declared by HSE Ireland, the Chief Medical Officer for Ireland or any law or any action taken by the Irish government or Irish public authority that directly affects the operation of the event will be considered as a cancellation in accordance with the above cancellation clauses. However, provided the revised event date is agreed (subject to availability) and takes place within 12 months of the original event date, payments received by Creating Connections Events Ltd from the client shall form a credit towards the future event. Should any postponement costs be incurred by Creating Connections Events Ltd, the client will be notified and these costs will be deducted from the amount held as credit.


6. Liability

On some events, the activities that the Clients will undertake may be inherently dangerous although all guests are fully supervised throughout. As such neither Creating Connections Events Ltd or its employees or agents shall be liable for any damage, loss, delay or expenses caused to the client, its employees, agents, licensees or invitees or any other persons attending the event except insofar as it results from the negligence of Creating Connections Events Ltd or breach of contract.


7. Force Majeure

Creating Connections Events Ltd shall not be liable for any delay or failure to perform any of its obligations if the delay or failure results from events or circumstances outside its reasonable control, including but not limited to acts of God, strikes, lockouts, accidents, war, fire, breakdown of plant or machinery, and Creating Connections Events Ltd shall be entitled to a reasonable extension of its obligations. 

 

8. Severance

If any term or provision of these Terms and Conditions is held invalid, illegal or unenforceable for any reason by any court of competent jurisdiction such provision shall be severed and the remainder of the provisions hereof shall continue in full force and effect as if these Terms and Conditions had been agreed with the invalid, illegal or unenforceable provision eliminated.


9. Final Numbers

If your order is based on a unit rate then final numbers must be agreed 48 hours in advance of the event. The numbers agreed will be the numbers charged for – subject to minimum numbers. If the actual number of guests decrease on the day – the numbers agreed are the numbers charged for. Any additional participants or charges will be added to the final invoice following your event.


10. Fix Fee Deal

If your order is a fixed fee deal the price will remain unchanged regardless of final numbers.


11. User Conduct

You agree not to:

  • Harass, discriminate, or engage in harmful behaviour during events or chats.
  • Share personal contact information without consent.
  • Use the Service for commercial, illegal, or fraudulent purposes.
  • Post offensive, explicit, or inappropriate content.
  • Attempt to circumvent security measures or disrupt the Service.
  • We reserve the right to refuse participation in certain activities to guests who are believed to be under the influence of drugs or alcohol, in the interest of health & safety.

12. Use of Photographs

If you attend an event hosted by Creating Connections Events Ltd, then you hereby consent to and authorize the use of the Photographs and Videos by the Photographer and the Photographer’s authorized representatives, licensees, successors, and assigns for any purpose whatsoever including without limitation: sale, reproduction in all media, publication, display, broadcast and exhibition for promotion, advertising, trade, art or illustration. The attendee agrees the Photographs and Videos may be used without further compensation for an unlimited time and that this Agreement is irrevocable.
